Data used in the management of administrative records of the institution and its components:  records classification, management of essential records, minutes, forms and semi-active records, retention schedule management, inventories of microfilm or digital records, records disposal monitoring, etc..

1 Retention:  As long as the system exists (data are updated regularly).
2 Archives selection:  Retention of records concerning series designated for permanent retention (archives) including but not exclusive to minutes, resolutions, microfilm or digital archives, and retired retention schedules.  Records that cannot be maintained electronically should be preserved on paper or microfilm.
